- name and company name,
- email address and phone number,
- shipment details: loading and unloading country, city and postal code, cargo type, weight/dimensions, loading date,
- the content of the message you send us.
In addition, in connection with your use of the website, technical data described in the Analytics and cookies section is processed (including IP address and browser type, in aggregated form).
3. Purposes and legal basis for processing
We process form data in order to:
- handle your enquiry and prepare an offer - legal basis: Article 6(1)(b) GDPR (steps taken at the data subject's request prior to entering into a contract);
- contact you and respond to your message, and to establish, pursue or defend potential legal claims - legal basis: Article 6(1)(f) GDPR (the controller's legitimate interest in handling enquiries and conducting its business).
Technical and statistical data is processed on the basis of Article 6(1)(f) GDPR (legitimate interest in ensuring website security and maintaining anonymous traffic statistics).
4. Recipients of data and processors
To provide our services, we use an infrastructure provider that processes data on our behalf under a data processing agreement:
cyber_Folks (hosting and email)
The website and form handling (sending the enquiry email to our mailbox) run on the hosting infrastructure of cyber_Folks S.A., based in Poland; servers are located within the European Union. The provider processes technical data necessary to display the website and deliver email (including IP address).
Statistics - our own instance
We run traffic statistics on our own instance of Matomo, hosted on our own server - we do not share data with any external analytics provider for this purpose (see Analytics and cookies).
Beyond this, data may be disclosed to entities authorised under applicable law. We do not sell your personal data.
5. Analytics and cookies
Our website does not use tracking or marketing cookies and does not profile visitors - which is why we do not display a cookie consent banner.
For traffic statistics we use Matomo, installed on our own server. It is configured in cookieless mode (it does not set cookies on your device and does not track you across websites) and with IP address anonymisation. Matomo collects, in aggregated form, data such as: shortened IP address, browser type, pages visited, referral source and approximate location (country/city), solely for statistical purposes. Data remains on our server and is not shared with third parties.
The website stores in your browser's local storage (localStorage) only your technical preferences - the selected theme (light/dark) and interface language. These are not cookies, are not used for tracking, and remain on your device.
6. Data location
Your data is processed within the European Economic Area - hosting and email run on cyber_Folks servers in Poland, and statistics on our own Matomo instance on the same server. We do not transfer your data outside the EEA nor do we use providers based outside the European Union for this purpose. Should this change in the future, we will update this policy and ensure the appropriate safeguards required by the GDPR.
7. Retention period
- Enquiry data is retained for as long as necessary to handle the matter and conduct correspondence, and subsequently for the limitation period applicable to potential legal claims.
- Statistical data in Matomo is retained in aggregated form for the period resulting from the tool's settings.
8. Your rights
In connection with the processing of your data, you have the right to:
- access your data and obtain a copy of it,
- rectification (correction) of your data,
- erasure of your data,
- restriction of processing,
- data portability,
- object to processing based on legitimate interest.
To exercise these rights, write to info@altlog.pl. You also have the right to lodge a complaint with the supervisory authority - the President of the Personal Data Protection Office (Polish: Prezes Urzędu Ochrony Danych Osobowych, UODO; ul. Stawki 2, 00-193 Warsaw, Poland), as ALTLOG is established in Poland.
9. Voluntariness of providing data and no profiling
Providing your data is voluntary but necessary to handle your enquiry and prepare an offer - without it we will not be able to respond to your quote request. We do not make decisions in a solely automated manner and do not apply profiling that produces legal effects.
10. Changes to this privacy policy
We may update this policy, for example in connection with changes to our services or applicable law. The current version is always available at this address, and the date of the last update is shown at the top of the document.
